How to merge PDF files on Windows 11 or 10

Prepare the files before merging

Give each source a clear temporary filename and place related files in one folder. Do not rename originals if a records policy or digital-signature workflow depends on the existing name. Instead, make working copies.

Decide these points before opening the merge workspace:

• What is the exact source order?
• Do you need every page from every file?
• Should each source create a top-level bookmark?
• Should the output copy metadata from the first PDF, use custom metadata or remove metadata?
• Are any inputs password-protected?
• What should happen if an output with the same name already exists?

Merge PDFs in PDFCore

1. Choose Merge PDF. The dedicated workspace opens without immediately writing a file.
2. Add PDFs. Use Add files, Add folder or drag files from Explorer. Duplicate paths are detected so the same source is not silently added twice.
3. Inspect each row. PDFCore analyzes page count, file size and protected status. Select a row to preview its first included page.
4. Set the order. Drag rows, use Up/Down, or sort by name or size. Return to custom order after a sort if you need manual adjustments.
5. Choose pages per source. Keep all or enter an ordered page expression such as 1-5, 8, last.
6. Handle protected inputs. Select the source and use Set password. The password is retained in memory for the merge task; use it only when authorized.
7. Choose assembly options. Decide whether to create a source bookmark, insert blank separator pages, and copy, replace or remove document metadata.
8. Set an output path and conflict rule. Ask before replacing is the cautious default. Create a unique name is useful in repeatable workflows.
9. Merge and verify. Open the result, compare page count to the plan, test bookmarks and inspect boundaries between source files.

Useful page expressions

Because expressions preserve order, they can do more than filter. For example, a reverse range intentionally reverses part of the source. Preview and verify unusual expressions before distributing the result.

Bookmarks, metadata and separator pages

Source bookmarks

Creating a top-level bookmark for each source makes a long combined file easier to navigate. Use concise source filenames first because they become useful bookmark labels. PDFCore creates source-level bookmarks; it does not claim to reconcile every nested bookmark tree from every input.

Metadata

Copying metadata from the first PDF is convenient when it is the primary document. Custom metadata is better when the merge creates a new work product. Removing document metadata can reduce accidental disclosure, but it is not a complete privacy scrub: visible content, annotations, attachments or embedded objects can still contain sensitive information.

Blank separators

A blank page can make duplex printing and section boundaries clearer. It also changes page numbers, so decide whether page labels, tables of contents or citations need updating afterward.

Merging password-protected PDFs

A PDF can use an open password, an owner password and permission flags. Possessing a password does not itself establish authorization. If a source can be viewed but not imported, obtain the proper owner authorization or ask the document owner for an unrestricted copy.

Do not remove security merely to make a tool accept the file. Preserve the protected original, work on authorized copies, and apply the intended security policy to the final merged document.

Avoid the most common merge mistakes

• Overwriting an input: save to a new filename. PDFCore prevents the output from being one of the input paths.
• Adding the same file twice: review duplicate detection messages and the final row count.
• Wrong order after sorting: confirm the visible row numbers immediately before merging.
• Unexpected page count: calculate the pages included by each expression, plus any separator pages.
• Mixed page sizes: merging preserves source page dimensions. Decide whether letter, A4 and landscape pages can remain mixed.
• Broken forms or signatures: complex form field names and certificate signatures can behave differently after assembly. Test the output with the workflow that will consume it.

Verification checklist

1. Open the result from the location shown after completion.
2. Confirm the output is not one of the source files.
3. Check the total page count against the planned ranges.
4. Inspect the first and last page of every source segment.
5. Click bookmarks and links that users rely on.
6. Search for a known phrase from each source to confirm searchable text remains.
7. Reapply or review security settings for the new combined document.
8. Keep source files until the merged result is approved and backed up.

When a different workflow is needed
